This page explains how Archeta AI (the marketing site and the authenticated workspace) collects, uses and protects the information you entrust to us.

Who we are

Archeta AI is operated by the AI Persona Customizer team. We offer a persona-first AI workspace, supporting authenticated users as well as public visitors to this marketing site. Unless a more specific notice is provided, this policy applies to every surface served from aipersonaapp domains.

Information we collect

Account & identity data

When you create an account we store your email, hashed credentials and the profile attributes you supply such as display name, time zone, job title, bio, notification addresses, credit plan and colour preferences. Integration tokens (for Salesforce and Gmail) plus their expiry timestamps are encrypted at rest inside the same identity record.

Persona & workspace configuration

Persona definitions, slider values, toggle selections, extra instructions, industry context, objectives, tags and any uploaded profile image are saved so that each persona behaves consistently across sessions. We also persist document blocks, version history, reviewer suggestions and generated exports when you build knowledge artefacts inside the workspace.

Conversations & collaboration

Chat sessions capture metadata (persona used, project, start time and optional tags) alongside the prompts and responses exchanged with Archeta. Team constructs, project rosters and agent definitions are retained to enable shared personas, approvals and automations. If you schedule deletions, we record the pending request and the progress once messages are removed.

Knowledge sources & uploads

Knowledge-base entries originate from the bundled library, Salesforce knowledge syncs, manual uploads or OCR extractions. For each item we store the original filename, extracted text and embedding vector so the search experience remains fast. Depending on your configuration, uploaded files may be written to encrypted Azure Blob Storage alongside a JSON index.

Billing, credits & operations

If you subscribe to a paid plan we create invoice records (amount, currency, issue and due dates, optional PDF copy) and maintain a ledger of credit allocations, consumptions and adjustments with contextual metadata. Operational telemetry captures HTTP method, route, request timestamps and search queries to help us secure and scale the platform.

How we use your information

  • Provisioning and maintaining your workspace, including persona composition, chat continuity, project sharing and integrations you authorise.
  • Routing prompts, uploaded content or web-search snippets to the AI providers you select so responses can be generated, summarised or converted into other formats.
  • Charging usage credits, issuing invoices and preventing abusive consumption.
  • Monitoring reliability, debugging issues and enforcing rate limits with the help of request telemetry and caching.
  • Communicating account notices, responding to support requests and sending optional product updates if you opt in.

Third-party services & disclosures

We rely on carefully selected sub-processors so Archeta AI can deliver its functionality. Depending on the features you enable, your data may be shared with:

  • Microsoft Azure OpenAI, GPT-4o, Azure AI Foundry & DeepSeek endpoints for generating persona output, summarising research and performing advanced reasoning across prompts you send.
  • Azure AI Document Intelligence & Azure Speech Services to transcribe uploads and synthesise speech for enabled conversations.
  • Azure Blob Storage & Redis to persist knowledge base uploads, project documents and cached responses.
  • Brave Search when you trigger web research, transferring the search query plus standard HTTP headers.
  • Google for Google Sign-In and Gmail send-on-your-behalf flows if you connect those accounts.
  • Salesforce when you authorise a sync, so we can import your knowledge articles and keep the connection refreshed.
  • Email and PDF infrastructure, including SMTP relays and Puppeteer/Chromium, to deliver notifications and generate downloadable exports.

We disclose personal data to law enforcement or regulators only when legally compelled. We never sell your data.

Cookies, local storage & telemetry

Archeta AI uses cookies strictly necessary to run the service—sign-in cookies set by ASP.NET Identity, anti-forgery tokens, temporary correlation cookies for third-party logins and the consent cookie you control below. We do not deploy advertising or analytics tags. Request logs are created server-side to protect the platform.

Retention & control

You can delete chat sessions, persona content, uploaded knowledge entries and integrations from within the product. Scheduled deletion requests execute in the background and generate an audit trail you can reference later.

Invoice and credit records are retained for the duration required by applicable financial regulations. Telemetry and cache entries are kept for short periods to troubleshoot incidents and enforce rate limits.

If you need a copy of your data, wish to object to processing or want us to erase content we store on your behalf, email privacy@archetaai.com. We respond within 30 days.

International transfers

Our infrastructure runs primarily in Microsoft Azure regions located in the United States and Europe. When we use other providers listed above, your content may travel to the region you select for those services (for example, Salesforce or Google data centres). We maintain contractual safeguards and use encryption in transit and at rest.

Updates to this policy

We will post any material updates on this page and adjust the “Last updated” date above. If changes significantly affect your rights we will notify you through the app or by email before they take effect.
